Upon arrival, students must enroll at the Registrar's Office and re-enroll online each academic year until graduation. The tuition fee is paid in the first and last years of the PhD, with free re-enrolment in between.

To receive the monthly allowance, students must open a Belgian bank account and provide their bank details to the university. Registration at Stad Gent for a student residence permit is mandatory and requires proof of sufficient means of subsistence, a housing contract, and other documents. The process can take 1-3 months, so early initiation is recommended. Students can also join Flanders health funds for additional healthcare benefits and access reduced public transport fares.

Family reunion is possible, but students must prove sufficient means of subsistence (1600 euro/month for the family), which may require additional financial procedures. While PhD students are not entitled to a work permit, they can work up to 20 hours per week as students, provided it does not interfere with their studies. The university's job service does not facilitate PhD student employment.
